Northern Cycling Inc. 2023 AGM Invitation

Dear Northern Cycling Member,

This is an invitation to all our financial primary & add on members for Northern Cycling Incorporated 2023 Annual General Meeting.

Date: Sunday 2nd of April 2023, commencing at 11:00AM (we will be having races at National Blvd on this day)

Venue: Gate Opening Systems – Factory 2/11 Leader street, Campbellfield

Presentation after racing will be held at the GOS factory, before we start the AGM.
If racing is cancelled due to inclement weather, AGM will still be going ahead as planned.

Quorum: Northern Cycling current membership stands at 164 members, which will require a quorum of at least 16 financial members attending in person for our AGM to commence at this stage.

AGM Estimated Duration: 30minutes

The ordinary business of the AGM is as follows:

1. To confirm the minutes of the previous annual general meeting.
2.  Financial annual report to be submitted by our treasurer Grant Summers for 2022.
3. Elect the members of the committee.

Nominations

Nomination forms are now available for any financial member who may be interested in nominating for one of the following  positions of president, vice president, secretary or treasurer.

Nomination form is attached on this email and must be returned  to myself, nomination forms will be accepted up to Sunday 24th of March 2023.

Nominations for ordinary committee member positions will be taken after the resolution on the number of ordinary committee members of the committee is decided at our AGM.

Constitution Election Rules

52 Election of President etc.

(1) At the annual general meeting, separate elections must be held for each of the following positions—

(a) President;

(b) Vice-President;

(c) Secretary;

(d) Treasurer.

(2) If only one member is nominated for the position, the Chairperson of the meeting must declare the member elected to the position.

(3) If more than one member is nominated, a ballot must be held in accordance with rule 54.

(4) On his or her election, the new President may take over as Chairperson of the meeting

53 Election of ordinary members

(1) The annual general meeting must by resolution decide the number of ordinary members of the Committee (if any) it wishes to hold office for the next year.

(2) A single election may be held to fill all of those positions.

(3) If the number of members nominated for the position of ordinary committee member is less than or equal to the number to be elected, the Chairperson of the meeting must declare each of those members to be elected to the position.

(4) If the number of members nominated exceeds the number to be elected, a ballot must be held in accordance with rule 54.

58 Meetings of Committee

(1) The committee must meet at least 4 times in each year at the dates, times and places determined by the committee.

Northern Cycling committee meetings are currently being held at the Al Sayed Cafe 103 National Blvd, Campbellfield or at the Gate Opening Systems – Factory 2/11 Leader street Campbellfield, after a race.

Northern Cycling committee will be having a committee meeting on Sunday the 19th of March 2023 in the café after racing. All Northern Cycling financial members are more than welcome to attend this committee meeting.
